General Terms & Conditions of participations for Landscape 2024

Registration and payment

The following General Terms and Conditions regulate the contractual relationship between the participant in the conference and the Leibniz Centre for Agricultural Landscape Research (ZALF) (hereinafter referred to as "the organiser"). Deviating General Terms and Conditions of the participant are not valid.

Registration can be made via online registration. Sending an online registration is considered a firm booking, you are accepting these general terms and conditions. This booking is only considered confirmed once payment has been received in full. Full payment must be received no later than 2 weeks before the conference begins. We accept credit card and bank transfer payments. All payment fees must be paid by the sender. Registration and payment will be confirmed by e-mail.

Early bird registration (until June 16, 2024) 370,00€
Regular registration (until July 15, 2024) 400,00€
Reduced ticket fee for (PhD) students 250,00€
Excursion fee 49,00€
Conference dinner fee (incl. 19% VAT) 50,00€

 

There is no discount for session and masterclass convenors, workshop convenors and participants, or participants from institutions in low- and middle-income countries.

Payment

The booking is only considered confirmed once payment has been received in full. Full payment must be received no later than 2 weeks before the conference begins. We accept credit card and bank transfer payments. All payment fees must be paid by the sender. Registration and payment will be confirmed by e-mail.

Cancellation policy

Cancellations can only be made in writing.

  • Cancellations (conference fee, excursion fee and conference dinner ticket) received until July 15th, 2024 will be refunded with 50 Euro deduction.
  • For cancellations occurring after July 15th, 2024 no refunds can be made.
  • For cancellations of Pre-conference workshops no refunds can be made.
  • Bank administration fee and credit card fee will not be refunded.

In the event that the conference is cancelled by the organiser, a full refund will be made. Liability is limited to the amount of the contributions paid by the participant; there is no additional liability towards the organisers.

In the event that the conference cannot be held or is postponed due to events beyond the control of the conference organiser (force majeure) or due to events that cannot be attributed to wilful intent or gross negligence on the part of the conference organiser, liability applies limited to the amount paid by the participant, there is no additional liability towards the organiser. In this case the organiser is entitled to deduct payment fees from the registration fee and refund the reduced amount to the account of the participant. 

Changes and postponement

The organiser reserves the right to make changes to the conference program, schedule and venue at any time. In the event that for some reason a postponement of the conference or a change of the dates becomes necessary, the organiser is not liable for expenses, damages or losses of the participants.
If the event can take place through reorganisation or postponement, registration between the participant and the organiser remains and is subject to the cancellation policy above.

Organisation and personal documents

All participants receive a certificate of attendance at the conference together with the personal conference material via website (after login) or via e-mail. The conference secretariat will available electronically to assist you during the conference.

Proceedings

A book of abstracts will be published electronically and will be available online on the conference website.

Photos and Filming

Photographs, moving images and audio material (in short: media) will be taken during the conference within the scope of press and public relations activities and may be stored electronically for an unlimited period and published electronically and/or in print. By taking part in the conference you grant the organisers full rights to use the media in their printed and online publicity, social media or press releases, such as publication on the ZALF website, the ZALF Intranet, the internal newsletter, the ZALF magazine FELD, the ZALF Annual Report, on event flyers/posters and general ZALF flyers.

ZALF shall not be liable for the use of media relating to the auxiliary person concerned by third parties for other purposes without the knowledge of ZALF, in particular by downloading and/or copying such media from publicly accessible sources.

ZALF assures that rights to the media will not be sold, transferred, etc. to third parties without the consent of the person concerned.

If you do not wish to be photographed please inform the organiser at least 24 hours before the start of the conference.

Websites and Links

The conference websites may contain links to other websites and networking tools that are made available to users. The organiser hereby explicitly dissociates itselve from all content of any linked pages mentioned in the conference homepage and does not adopt their contents. This declaration applies to all links displayed on the present web page.

Liability

By registering to the conference participants agree that neither the organiser nor the conference secretariat assume any responsibility for damage or injuries to persons or property or loss of property during the conference. Participants are advised to organise their own health, travel and personal insurances.

Legal basis

Organiser of the conference is the Leibniz Centre for Agricultural Landscape Research (ZALF). The organiser and its authorized representatives cannot be held liable for any damages, of whatever nature or loss of goods.

The organiser does not accept any liability for the topicality, correctness and completeness of the conference documents and the execution of the event. These Terms and Conditions shall be construed in accordance with and governed by the laws of Germany. Place of jurisdiction is Frankfurt (Oder), Germany.

Severability clause

The organiser reserves the right to change, add or remove the above terms at any time without notice. Should one or more of the conditions listed in these general terms and conditions be or become invalid, the remaining conditions remain valid and apply. These general terms and conditions apply to all participants of this event, including speakers, sponsors and exhibitors.
